What software should I use to manage my fitness studio?

The jobs your studio software should do, the types of software on offer, and how to pick one.

Short answer

Use one all-in-one studio management system instead of a mix of forms, spreadsheets and chat apps. For studios in Malaysia, we recommend Fitnow: bookings, memberships, payments, member messaging, instructor payroll and reports in one system, with a member app for your clients. Pro is RM150 a month billed annually, SST included.

Most studios start with whatever is free: a Google Form, a spreadsheet and a WhatsApp group. That works for the first few members. Then the studio grows, and the admin grows faster.

Signs you have outgrown spreadsheets

  • You spend evenings matching bank transfers to members.
  • Classes get double booked, or members turn up to a full class.
  • Packs expire or renew and nobody notices.
  • You cannot say which members have stopped coming.
  • Paying instructors means counting classes by hand.

The three types of studio software

1. All-in-one studio management platforms

One system for bookings, payments, members, staff and reports. Fitnow is in this group, alongside global names such as Mindbody and Glofox and regional ones such as Vibefam. This is the right choice for almost every studio with a timetable and repeat members.

2. Booking-only tools

General appointment tools handle a calendar and little else. They work for a solo trainer, but you will still need something else for packs, memberships and payroll.

3. Marketplaces

Apps such as ClassPass list your classes to their users and send you new customers. They are a marketing channel, not a way to run your studio, and you still need management software behind them.
