The thought of moving systems keeps many owners on software they have outgrown. The worry is understandable: members, packages and bookings all live in the old system. With a plan, though, most studios switch in a couple of weeks without losing a single booking.
Gather what you need to move
Before anything else, export or list:
- Members and their contact details
- Active packages and memberships, with remaining credits and expiry dates
- Upcoming bookings for the first couple of weeks
- Your timetable, prices and instructor list
Remaining credits matter most. Members will forgive a new app. They won't forgive losing classes they paid for.
Pick a sensible switch date
The start of a month is usually easiest, because memberships renew and reports line up. Avoid your busiest season, and give yourself a few days of overlap where both systems are available.
Tell members early
Announce the change at least a week ahead on WhatsApp, email and social media. Explain what is changing, what isn't, and what they need to do, which is usually just downloading an app and logging in. Pin a short how-to video or image where members will see it.
Train your team before launch
Your front desk will get the questions, so make sure they are confident first. Run through common tasks together: booking, cancelling, selling a pack, checking someone in and handling a failed payment.
Run a soft launch
Invite a small group of regulars to start booking a few days early. They will spot anything confusing before everyone else arrives, and they can help other members on launch day.
Check in after the first week
After launch, check that every class shows the right bookings and that payments are coming through. Ask members and staff what feels clunky and fix it while it is fresh.
